This page explains what Cab & Ledger, operated by [PLACEHOLDER: legal entity name and state, after formation] ("we"), collects through this website and by email, and what we do with it. It's meant to be short and plain.

What we collect

  • What you send us. If you email us, we get your email address, your name if you include it, and whatever is in your message.
  • Client documents. If you become a client, we keep the documents and dates you share with us so we can do the work, such as driver file records and filing details.
  • Basic technical data. Our website host may log technical details such as IP address, browser type and pages requested, to keep the site running and secure.

This site has no forms, no analytics, no advertising trackers, and sets no cookies of its own.

Please don't send sensitive numbers

Don't email us your USDOT PIN, Social Security number, or bank or card numbers. We will never ask for them by text, email or phone call. If someone using our name asks for them, it isn't us.

How we use it

  • To answer your question and send the written reply or quote you asked for.
  • If you become a client, to do the work you signed up for.
  • To keep business records.

AI assistants

Our office uses AI assistants to sort incoming messages, answer email and send quotes. Not every reply is reviewed by a person before it's sent. Any AI assistant that writes to you says so up front, and nothing is ever filed for you without your written approval.

Email. Mail to hello@, consults@ and filings@cabandledger.com passes through Cloudflare Email Routing, which forwards it to our Gmail inbox. Cloudflare says Email Routing stores and accesses no email content (Cloudflare Email Routing). Google says it doesn't use Gmail content for ads and doesn't sell your personal information (Gmail and ads). Messages are then stored in Gmail under Google's privacy policy.

AI assistants. We use Claude, made by Anthropic, and Grok Bot to help sort and answer email. What each provider keeps, and whether it may use the data to improve its models, depends on the account plan and settings. See Anthropic's privacy center and the Grok Bot terms. We don't put your USDOT PIN, Social Security number or bank or card numbers into these tools, and we ask you not to send them.

Who we share it with

We don't sell your information. We share it only:

  • with service providers that help us run the business, such as our web host and email provider;
  • with a government agency when you approve a filing we prepared for you;
  • with goMDnow, the testing consortium you enroll with and pay directly, if you're on a Fleet plan and use testing-program coordination;
  • when the law requires it.

Calls and texts

We don't cold call or cold text. We only reply to people who contact us first. If you ask us to stop contacting you, we stop the same day, on every channel.

How long we keep it

  • Consent and contact records: at least 4 years. That includes your permission to be contacted, any stop request, and a record of our messages with you.
  • Inquiries that don't become clients: your emails and our replies are kept for 12 months after our last message, then deleted. Consent and stop-request records are kept for 4 years, as above, so we can keep honoring your choice.
  • Client files (driver qualification records, expiration dates, filing details): kept while you're a client and for 3 years after our service ends, then deleted. When you leave, you can ask for a copy of your file. Federal rules require a motor carrier to keep a driver's qualification file while the driver works for it and for three years after. You stay responsible for keeping your own required records; our copy doesn't replace yours.

If you ask us to delete something we're required or allowed to keep, we'll tell you what we're keeping and why.

Your choices

You can ask what we have about you, ask us to correct it, or ask us to delete it, by emailing hello@cabandledger.com. Some records may need to be kept; we'll tell you which and why.

Changes

If this policy changes, we'll update this page and the date at the top.
